# View and Manage Responses

Find completed and partial form responses, review individual answers, and organize records for later use.

When someone submits a published form, Rooks stores the response automatically. You do not need to configure a destination before responses can appear in Rooks.

### Open a form’s responses

Responses are organized by form.

To view them:

1. Open the form in your workspace.
2. Select **Responses**.

You can also select **Responses** directly from the form editor.

### Review the responses table

Each row represents one person’s response. The table includes:

* A unique responder ID
* The submission date and time
* Whether the response was completed
* A column for each form question

If the form collected uploaded files, select the available file link to open the upload.&#x20;

### View a complete response

Use the expand control on a response row to open its details. The response panel displays the submission time, responder ID, and the answers recorded for each question.

Blank fields may indicate that a question was optional, conditionally hidden, or not reached before a partial response was saved.

### Show partial responses

The response table displays completed responses by default.

Select **Show partial responses** to include saved responses from people who began the form but did not complete it. The **Completed** column identifies whether each response is final.

Select the control again when you want to hide partial responses.

### Archive responses

Archiving removes responses from the default table without permanently deleting them.

To archive responses:

1. Select the checkbox beside each response.
2. Select **Archive**.

To view or restore archived responses:

1. Select **Show archived**.
2. Select the responses you want to restore.
3. Select **Unarchive**.

Rooks continues storing responses even when you configure a **Destination**. A destination provides an additional way to send response data to another tool; it does not replace the response records available in Rooks.

### Get response notifications

Each form has notification settings for finalized responses. Notifications are sent to the email address associated with your Rooks account.

To configure them:

1. Open the form in your workspace.
2. Select **Notifications**.
3. Turn on either or both notification options:
   * **Every response** sends an email when finalized responses arrive. These notifications may be grouped when several responses arrive close together.
   * **Daily summary** sends one email summarizing the day’s responses.

Notification preferences are set separately for each form and collaborator. Anyone who wants to receive emails must enable notifications from their own Rooks account.
